You must be at least 18 years old and authorized to enter agreements on behalf of your organization. You are responsible for ensuring your use complies with all applicable laws and internal policies.
4. Account Registration
You must provide accurate information during registration and keep your account credentials secure.
You may not:

share logins outside your organization

resell or sublicense your account

attempt to copy, replicate, or reverse-engineer the Service
You are responsible for all activity that occurs under your account.
5. Prohibited Data
ReferralFlow may not be used to store, transmit, upload, or process PHI or any patient-specific identifiers.
Only business-level information such as facility names, liaison activity data, and non-PHI metadata may be entered.
Any account found entering PHI may be terminated.
6. Pricing, Subscriptions, and Auto-Renewal
The Service offers both month-to-month and annual subscription options.
All subscriptions automatically renew for the same term unless canceled before the renewal date.
7. Refund Policy
ReferralFlow follows a standard SaaS refund policy:

Fees are non-refundable once a billing period has begun.

If you cancel, access continues until the end of the paid period.

No prorated refunds or partial credits are offered.
8. Cancellation
You may cancel your subscription at any time through the account settings.
Cancellation takes effect at the end of the current paid period.
We may suspend or terminate your access for:

9. Acceptable Use Policy

scrape, harvest, or attempt to extract data programmatically without permission

reverse engineer the software

use the Service for unlawful, harmful, or abusive activities

10. AI and Third-Party Services
ReferralFlow uses third-party AI providers (including OpenAI) to process user-submitted text.
By using these features, you agree that:

no PHI may be included in prompts

the Company makes no warranties or guarantees regarding the accuracy, reliability, or suitability of AI-generated content
You remain responsible for reviewing and verifying all AI output.
11. Intellectual Property
ReferralFlow, including all code, features, designs, and content, is the exclusive property of the Company.
You retain ownership of any data you upload, but you grant the Company a limited license to process that data solely to provide and improve the Service.
You may not copy, modify, distribute, create derivative works, or attempt to extract source code from the Service.
12. “As-Is” Disclaimer
The Service is provided “as is” and “as available” without warranties of any kind, express or implied.
We disclaim all warranties including fitness for a particular purpose, merchantability, and non-infringement.
We do not guarantee:

uninterrupted availability

accuracy of analytics

compatibility with every device or browser

correctness of AI outputs
Use the Service at your own risk.
13. Limitation of Liability
To the fullest extent permitted by law, the Company’s total liability is limited to the amount paid by the customer in the preceding 12 months.
